Position Description:  Office Manager


The church office manager performs a wide range of office tasks such as distributing and responding to regular mail and emails, preparing correspondence and other information, filing reports and keeping online records, and answering phones and the door.  The church office manager will also communicate information as needed to the parishioners and the church’s administrative branch.

 

Qualifications:  Must have basic computer skills which includes Microsoft Word, Excel, Publisher, ability to organize and maintain records (physical and digital)*, and be able to communicate effectively with staff, visitors and members by phone and in person.
*The church will transition to a digital record keeping system and this role would be critical to the set up and maintenance of the system. This includes scanning of documents, creating folder structure, maintaining access to cloud environment. 

 

Essential Duties and Responsibilities of the Church Office Manager

 

  • Weekly meeting with Pastor to ensure good communication

  • Answer and manage office communications by receiving and routing phone calls, faxes, deliveries and regular mail

  • Receive, welcome and direct visitors including congregation members, Christian Pre-School staff and families, and repair/sales persons

  • Clerical tasks such as typing, filing and copying for the Pastor, Deacon and Church Council

  • Read and respond to emails

  • Prepare and send out church mailings

  • Coordinate updates to website, email systems, online calendars, bulletin boards and newspaper announcements

  • Create weekly posts to social media to keep congregation up-to-date on relevant activities and news

  • Maintain record of congregational giving through computer program

  • Record and update information in regards to weekly church attendance, congregational prayer list, living memorial gifts, Parish Register and visitor contact data

  • Manage sign-up sheets and communications regarding congregation events, needs or volunteers

  • Assist Pastor, Preschool Director and Property Chairperson with identifying any concerns with office equipment and/or building/grounds issues  and help to arrange for any necessary repairs

  • Order supplies (worship, office, and maintenance) when necessary; maintain inventory to help manage supplies 

  • Keep office clean and orderly

  • Assist with financial operations by receiving invoices, preparing related purchase orders, getting authorizations, ordering supplies and mailing payments  

 

Education and Experience

  • Minimum of high school diploma or equivalent required

  • Associates or Bachelor's degree preferred

  • Basic office work experience required *minimum two years in a clerical/administrative position

 

Work Environment

  • The majority of the workday will be spent in an office setting.

  • Some light walking, lifting and errands may be required

  • The work week will consist of Monday-Friday with 5 hours per day
